Create and share a project

Create a private or org-shared project and give teammates the right level of access.

Create a project for a new area of work and share it with the people who need it.

When to use this

  • You are starting a new area of work that deserves its own records — a client, a program, a team process.
  • A teammate needs to read or update records in a project you own or administer.

Before you begin

  • To create an Org-shared project, your organization must allow you to create shared projects. Otherwise you can create Private projects only.
  • To share a project, you need the Admin or Owner role on it.

Create a project

  1. In the sidebar, open Projects.
  2. Select New project.
  3. Enter a Name. The path preview shows where the project will live, for example org/shared/client-onboarding.
  4. Under Sharing, choose Private (only you can see it) or Org-shared (everyone in your organization can see it).
  5. Create the project. It opens with a starter set of record types: entries, tasks, decisions, and knowledge.

To give the project record types that fit your work — clients, cases, orders — see Design a project with your agent.

Share a project

  1. Open Projects and select the project.
  2. In the access section, choose a person under Add a user. Only people who are already members of your organization appear.
  3. Choose a Project role: Reader, Writer, Admin, or Owner. See Roles and access.
  4. Add them. They can now see the project, and any AI tool they connect can too, within the same role.

To remove someone's access, remove them from the project's access list.

Archive a project

When the work is done, a project Admin or Owner can archive it from its Archive section. Archived projects keep their records. Filter Projects by Archived to find and restore them. Your personal journal cannot be archived.

If something fails

  • The person you want is not in the list — they are not a member of your organization yet. Ask a workspace admin to invite them.
  • You do not see Org-shared — your account cannot create shared projects. Create a private project and share it, or ask an admin.
  • You hit a project limit — see Limits.
